WHO RUNS THE WEBSITE?

This website was developed by Refined Practice KlG, a co-operative partnership based in Uster, Switzerland, on behalf of IAFIE EC. The website is maintained by IAFIE EC in collaboration with Refined Practice.

The website is hosted in Switzerland by Infomaniak. The host will only process your data to the extent necessary to fulfil its contractual and performance obligations, and to follow our instructions with respect to such data. You can read Infomaniak’s privacy policy here.

If you contact us directly by use of email or the postal service, indirectly via the contact form on this website or if you use other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your inquiry and to keep a record of your complaint, accommodation request, or similar concern. If you contact us through the forms on this website your message will be transported via the transactional email service Mailgun to IAFIE EC's Gmail address. Mailgun's service complies with the requirements of the GDPR (more information available here).

If you would prefer to avoid using Mailgun's services, please email us directly on iafieeuropeorg@gmail.com. Please note that in both cases your message will be transported to the Gmail e-mail platform and we will reply to you by use of our Gmail e-mail address. MEMBER-ONLY CONTENT

Should you choose to sign up to gain access to the member-only part of the website, we will ask you to provide us with your full name, e-mail address and unique identifiers (such as your login name and password).

The registration data we collect allows us to verify whether you are a member of our association and, hence, are entitled to access the member-only content. Further, the data is used to enable you to log in and view member-only content made available through the website.

EVENT REGISTRATION

Throughout the year we host a number of in-person and virtual events, including our annual conference. If you register for one of our events and you are a member of IAFIE, we will access the information in your member account to provide you with services associated with the event. You may be also asked to provide more information than is found in your IAFIE profile (e.g. whether it is your first IAFIE event, your meal preferences, and information about your current title and industry).

If you are not IAFIE's member and you sign up for one of our events, we will collect the following information: full name, email, organisation, title, industry, address, phone number, whether it is your first IAFIE event, meal preferences, and the like.

The information you give us will be used to provide event services, including badge printing, tailoring sessions to meet the audience profile, matching the size of the room to the size of the audience and so on. We also use the information for billing purposes, as some attendees do not pay at the time of registration. After the event, IAFIE EC anonymises the information collected from attendees and uses anonymised information to review the outcomes and plan for future events.

If you are a presenter at one of our events, we will collect information about you including your full name, employer and contact information, and, if you agree, a photograph, and we may also collect information provided by event attendees who evaluated your performance as a presenter. Also, upon your consent, we may make and store a recording of your voice and likeness. IAFIE EC relies on a legitimate interest basis for collecting, storing and processing this information.

We keep a record of your participation in IAFIE EC events as an attendee or presenter. This information may be used to provide you with membership and certification services (such as telling you about other events and publications). We may also use this information to better understand specific needs and interests of our members so that we can tailor our products and services accordingly.

Some of our events are sponsored. With your consent, IAFIE EC may allow sponsors, co-sponsors and/or exhibitors to send you material by mail once per sponsored event, in which case IAFIE EC engages a third-party mailing house and does not share your mailing address directly with the sponsor/exhibitor. If you do not wish to receive information from sponsors, co-sponsors and/or exhibitors, you can express your preferences when you register for events or you may contact IAFIE EC directly at iafieeuropeorg@gmail.com.

COOKIES AND DO NOT TRACK

A cookie is a text-only string of information that a website transfers to the cookie file of your browser so that our website can remember who you are. Cookies contain information such as the date and time of your visit, your IP address, and the number of bytes your computer sent and received. These cookies will remain on your browser until you delete them. You can adjust your browser settings to accept or reject cookies per your preferences, and to delete them automatically.

The only cookies that are used on the website are:

  • Session cookies. Session cookies are used by the website for all users, logged in and not logged in. They contain no personally identifiable information and are used to support the transmission of form data across multi-page forms and help tackle cross-site request forgery (CSRF) when the forms are submitted. Session cookies are within the scope of GDPR as they do not track you and are required for the proper functioning of this site.
  • Further, logged in users have the option to 'Stay logged in'. This sets a couple of persistent cookies so that the user does not have to enter their login data on subsequent visits.

Beyond the above, the IAFIE EC tracks users when they cross from our primary public website to our member-only portion of the website by logging in with their username and password. IAFIE EC also keeps a record of third party websites accessed when a user is on the IAFIE EC site and clicks on a hyperlink. This information is stored only in aggregate form and is not tied to any personally identifiable information (i.e. we know how many people have clicked on an outbound link, but not which people). IAFIE EC does not track users to subsequent sites and does not serve targeted advertising to them. IAFIE EC does not, therefore, respond to Do Not Track (DNT) signals.

DATA PROTECTION AND RETENTION

IAFIE EC is fully committed to protecting your information. We have implemented all necessary measures to prevent the loss, misuse or alteration of any data held under our control. These measures are in full compliance with generally accepted best practices, as well as the Dutch law and EU legal norms, including the provisions of the General Data Protection Regulation (GDPR) (EU) 2016/679.
